The number of participants

How many participants are optimal for the seminar goal, how many can there be minimum and maximum?

We offer seminar accommodation for different group sizes from 4 – 30 participants (for very large groups, divided into two holiday homes). Our tip: book a holiday home right from the start with a bit of “buffer” for the group size.

The expectations of the participants

Answer the following questions for yourself:

What do the seminar guests hope for?

What previous knowledge do you bring with you?

Do you have experience with the seminar design methods you are planning?

How do participants recognize the success of the seminar?

What are possible stumbling blocks to seminar success and how can they be minimized?

When it comes to open seminars, the key point is how to fill them with the right participants. The following questions often help here:

• Who are your dream participants?
• Where do they look for the seminar content you offer? It is often worthwhile to invest in search engine optimization for your training topics in good time.
• Are there multipliers? How can these be addressed?
• How can recommendation marketing be used by participants in previous seminars?
• Is your seminar topic suitable for a press article? Don’t just think about the major media, but also blogs and online editorial teams. Our tip: pay attention to lead times!
• Which paid online advertising such as AdWords or Facebook is worthwhile and to what extent?

Helpful questions for planning the individual seminar phases

• Which introduction is suitable for the topic of the seminar unit? Is there a way to make the central message tangible in a story, a game, or a movement unit?
• What previous knowledge do the participants have? If these are different: how can this be addressed?
• How can I use and expand this prior knowledge? How can others benefit from this?
• How do I make the core content visible and tangible (e.g. flipcharts, Power Point Sheets, seminar games, etc.)?
• Which method/tools suit the respective learning content? How can I adapt this to participant preferences?
• How do I design the dramaturgy of the methods so that as many learning channels as possible are addressed alternately? (Keyword: different learning styles)
• Are there enough exercise units and physical activity?
• How can I offer opportunities to try out and transfer the seminar content into practice?

• It is worth preparing the presentation material (flipcharts, PowerPoint) with some time buffer. Don't forget: It's best to save files multiple times on different media
• Prepare work assignments for group work etc. and pack the required materials (see checklist for the seminar suitcase)
• Prepare materials for the seminar games
• Prepare a sufficient number of practical examples for each content
• Communicate what the participants should bring with them (preferably with a printable checklist)
• Print out seminar materials/handouts
• Workbooks/seminar folders

Tip: A travel printer/lightweight printer is often helpful, especially for longer seminars

Helpful questions before the participants arrive

• How are the rooms distributed in the holiday home? (Tip: A goodie on the pillow or fresh flowers create a “welcome” feeling)
• Is the furniture arranged according to the plan?
• Did you ventilate the room again shortly before you arrived?
• Does the technology work with all cables and connections?
• Do you have all your work documents ready?
• Do you have all the names ready and can you assign faces to them?
• Do you remember the daily routine/seminar structure? (remind me again shortly beforehand)
• Is there a welcome drink available?

Questions during the seminar

• How can I use the expectations query to fine-tune my seminar planning?
• How can I find out whether all seminar participants feel good?
• If not: have I prepared solutions, for example for alternative seminar methods?
• How can I ensure that everyone actively participates?
• Do the participants experience it in such a way that the common thread of the seminar can still be experienced in terms of content and emotions? Do I experience this the same way as a seminar leader/trainer?
• How does my planning relate to the needs of the participants? Do I possibly have to deviate from my original seminar planning?
• How can I make intermediate results clearly visible?
• Keyword individual conversation: is there a need? When can these be managed sensibly?
• When are discussions fruitful and when does it make sense to limit them?
• How do I design breaks so that they have the maximum recovery effect?

Helpful questions at the end of a seminar day

• In what form would I like to request feedback on the day?
• What went well on the day of the seminar and can be improved?
• What went less well? What are the reasons and how can I use this information for further seminar design?
• At what points does it make sense to modify the original seminar planning?
• Have all learning objectives been achieved? If not, how can these be conveyed on the remaining days?
